Management PTO Approval Process
PTO Approvals can be granted by accessing the approval Google Sheet. The Google Sheet is accessible via google drive, okta, or email link.
Approve the Request
Use the "Status" column to approve or deny the request. Once approved, a calendar event will be automatically created. Reference the "Calendar Event" column to see if the event was created. If denied, an email notification will be automatically sent to the requester.
How to Remove or Change a PTO Event
You cannot edit event details on the spreadsheet in order to change or delete the corresponding calendar event.
Managers have full access to the shared team PTO calendar. All edits or deletions should be done directly on the PTO calendar.
Managers can delete rows on the approval sheet in order to clear out data if needed.
Authorize an Additional Approver
You have complete control of who approves PTO requests from your team. Here are the 2 steps to add an approver:
Grant edit access to the approval Google Sheet. This is just like sharing any other Google Doc.
Add the new approver to the notifications email list. Follow the guide below or submit a ticket to Service Desk.
Date/Time Error
The PTO submitter may submit a request with an end date/time that comes before the start date/time. This usually occurs when the submitter forgets to adjust the AM/PM fields. The requester will be automatically notified within 1 hour. A confirmation message will be added to the "Calendar Event" column.
Subscribe to the Team PTO Calendar
By default, all organization members have read only access to PTO calendars. Only PTO approvers have the ability to edit events on team PTO calendars. You have direct control of the calendar sharing settings. Edit settings to add more editors or submit a ticket to Service Desk for assistance.
