Data Transfer Guide

This document outlines what to expect when you initiate a data transfer for a terminated employee.


Email Forwarding

Q: Can I forward email to multiple recipients or change where forwarded email is delivered?

A: Yes, to add additional recipients to change email forwarding, simply email your request to support@phtech.com.


Google Drive Files

Q: Where can I find the terminated user's Google Docs after the transfer has been completed?

A: The files are automatically added to the new owner’s Google Drive. They appear in a folder named with the previous owner’s email address.

Q: Will all the terminated user's Google Docs be transferred? Private and shared?

A: Yes, all private and shared files will be transferred.


Google Calendar Events

Q: What happens when I choose to transfer a terminated employee's Google Calendar?

A: Only future, non-private events (with at least 1 guest or resource) from primary calendars are transferred. Future private events are canceled so that orphaned events don't stay in resources and other user's calendars. If you don’t need to maintain the user’s data, then cancel all of their future events. Secondary calendars and events are not transferred.


Q: How will the transferred calendar items appear for the receiving user?

A: When the event transfer is finished, a new secondary calendar with the Transferred from user@phtech.com name appears in the calendar list of the new owner. This calendar contains the events of the former user.


Q: What happens if I elect not to transfer a user's Google Calendar?

A: All future events of deleted users, will get automatically cancelled a few days after their deletion.
