INTRODUCTION
As you are aware, email has become the preferred method for corporate communication. However, email is not a private conversation; unencrypted email messages can be intercepted and read.
With the adoption of the Health Insurance Portability and Accountability Act of 1996 (HIPAA), all communication containing Protected Health Information (PHI) must be encrypted. To ensure the confidentiality of private information sent via email and comply with privacy HIPAA regulations, we are implementing a new email encryption service through Zix Corporation, the leader in email encryption services. This service helps us protect our customer’s sensitive medical information within our email communication.
For both our employees and our customers, Zix Corporation makes encrypted email communication easy. ZixCorp’s services allow us to send encrypted email messages to anyone, whether they are a ZixCorp customer or not.

SENDING ENCRYPTED EMAIL
Keyword Triggered:
With keyword triggered encryption, you are responsible for identifying sensitive information within the body and attachments of your email, and typing that keyword within the subject line or body of the email. To send an encrypted email, enter #phi# in the subject or body of your message and the content is encrypted before it leaves our corporate network.
Content Scanning:
When using content scanning, the encryption process happens transparently without requiring any initiation from you when you send an email from your standard email program. The content of all email messages sent, including subject line, message body and attachments is scanned and compared against the policies we have implemented.
RECIPIENT EXPERIENCE
When you send an encrypted message to a customer, they receive a notification email with instructions on how to open the message. The notification message arrives in their email Inbox. They select Open Message in the notification to go to the Secure Message Center and view their email.
The customer must go through a one-time registration process.
After they register and sign in to the Secure Message Center, their message opens and they can view the message details and reply.

What is Best Method of Delivery?
Best Method of Delivery (BMOD) allows encrypted email to be delivered in the manner that works best for the recipient. It supports delivering encrypted emails to software clients or gateways using a variety of encryption standards such as S/MIME and TLS. Additionally, BMOD provides methods of delivering encrypted emails to users who do not have encryption capabilities, including a secure Pull model.
What Internet browsers are recommended?
Most Internet browsers will work, including Microsoft® Internet Explorer®, Mozilla® Firefox® and Apple® Safari™.
What mobile devices can be used?
Most major mobile devices can be used, including Apple® iPhone® and iPad®, BlackBerry® devices and Android® devices.
How long does a customer have to read the message I sent to them?
Messages you send to a customer expire 14 days from when you send them the message.
Can a customer send an encrypted email back to me?
Yes. After a customer views their email, they can select Reply or Reply All to send an encrypted email back to you. Customers can also use the Compose page to initiate a secure email to you.
